Standard Job Description: Associate Reporting Officer
Organizational Setting and Work Relationships
Under the overall guidance of the Senior Communications or Donor Relations Officer, the Associate Reporting Officer contributes to production, editing and quality control of reports for his/her Area of Responsibility (AOR). By systematization and sharing of accurate and timely information, the incumbent promotes the vision, mission, and strategic goals of UNHCR.
S/he establishes close contacts with all UNHCR sections in the AOR to gather and analyse information. S/he maintains effective professional relationships with a wide variety of donors, operational and implementing partners, UN agencies, and other stakeholders to gather, analyse and disseminate information about activities of UNHCR and its partners.
All UNHCR staff members are accountable to perform their duties as reflected in their job description. Duties

- Keep abreast of all developments in the country operation/ bureau/ division or other entity to prepare appropriate briefings and reports.
- Draft regular daily, weekly and monthly up-date for internal and external audience (including donors and media).

- Consolidate and analyse data on programme implementation, achievements and indicators in all sectors under AoR in order to facilitate the preparation of periodic reports and activity-specific reports as may be required and ensure timeliness of such reports.
- Participate in annual reporting and planning process.
- Work closely with Information Management to ensure accurate and attractive data presentation, including maps.
- Support the monitoring of UNHCR’s partnerships and consolidate information about Partners’ activities.
- Assist in the preparation of briefing kits and presentations for missions and visitors.
- Assist in the preparation of reports for donors, in compliance with specific donor requirements. Make efforts to enhance donor satisfaction by ensuring quality reporting on programmatic results to donor. Assist in providing visibility for donors’ contributions to UNHCR.
- Research/analyse, interpret and also, monitor and review information and data from regular and wide variety of sources for internal and external reporting.
- Prepare and distribute minutes of meetings.
- Provide technical support, training and clarification on UNHCR’s reporting policies and deadlines.
- May prepare press releases; conceptualize, draft and edit stories for external communications products and support all aspects of its production, including fact checking, proofreading and quality control.
- Support UNHCR inter-agency coordination initiatives and leadership through provision of reporting and secretariat functions where relevant.

Desired Candidate Profile: Besides the required academic background in Diplomacy, Law, and International Relations and on job training in the role, the ideal candidate should have over 5 years’ experience in handling executive functions and office support. Experience working with Representatives or Senior Executives in UNHCR or other large international organisation, knowledge of inter-agency coordination, ability to work with donors, governments is vital. Hands on experience in drafting periodic reports, including donor updates, internal sitreps, briefing notes for senior managers, and activity-specific reports is required. Proven abilities in preparation of funding submissions for donors, building working relationships with the government, NGOs, and UN agencies is essential. Expertise working with the media or in a role of Public Information, the press, coordinating press events, interviews and other activities related to information dissemination to the general public is required.

Nature of Position:: The incumbent coordinates and collates information related to UNHCR ‘s response. Reporting relationships Associate Reporting Officer reports to the Senior Extension Relations Officer and works closely with the Heads of Sub-Offices, Office and Units to ensure relevant information are compiled on behalf of the Representation, for dissemination within the Operation and externally. Staff analyzes supporting documentation and summarizes relevant information by UN, government, donors and media that can have an impact on the operation in Somalia.
Additional duties Assoc Reporting Officer works especially closely with the Executive Assistant, Snr Executive Support Associate and External Relations. Desirable experience Associate Reporting Officer is required to possess highly advanced writing and organizational skills. The candidate must be able to work in a team, meet difficult and tight deadlines and do so while simultaneously working on multiple projects.
Living and Working Conditions:: The security situation in Somalia is well-known for being volatile and unpredictable. The incumbent should therefore have experience in working in stressful conditions, have sound security awareness, and be sensitive to social, cultural and religious norms.
UNHCR Mogadishu has its own accommodation and Office compound within the AMISOM protected area. There are several restaurants and shops within the protected area that staff can find different food and non-food items. There is no banking service but there are several ATM machines within the protected area where staff can withdraw up to 500USD at a time with Visa cards. USD is also commonly used locally in cash during shopping. There is a PX shop within AAIA AMISOM protected area, where basic food, beverage and clothes stuff can be bought. UNSOS has level II hospital in the compound accessible to UN staff on a cost recovery basis through the Office. For recreational activities, the accommodations as well as UNSOS compound have gym & sport facility that are accessible to UN staff and residents. Also, international staff can walk around certain unrestricted perimeter of the UN compound such the seaside etc. Mogadishu airport called Adan Abdullahi International Airport located within the AMISOM protected area within few minutes’ drive away from the accommodation. There is reliable telephone and internet service in the compound.
Staff members are provided radio equipment, mobile sim card, laptop and PPE on arrival. Mogadishu is a high-risk non-family E-duty station with 4 weeks R&R cycle. Field missions by international staff requires security escort within a very limited radius of the Town and must be planned in advance in close cooperation with Security Officer.
Staff are required to complete all mandatory trainings including BSAFE before travel, as well as SSAFE is feasible. There is daily UN Flight from Mogadishu to Nairobi. Additionally, there are few airlines with a daily flight from Mogadishu to Nairobi, Addis Ababa and Istanbul.
