Logistics Coordination   

  1. Coordinating shipping schedules and routes with transportation companies to ensure that goods arrive on time and without damage
  2. Coordinate the timely clearance of all GIK and other Projects supplies in Puntland and esure no Dumerage cost is incurred
  3. Support in following up with Puntland government on tax exemption for all shipments received in Puntland in timely manner to avoid Payment of taxes

Goods Receipt and Dispatch       

  1. Coordinate with Supply Chain Officer to ensure that all goods received are verified by SME prior to receipt.
  2. Raise Goods received notes for all inspected goods. Also, ensure timely receipt of goods on the system
  3. Randomly scrutinize waybills and Ledgers for commodities arriving at the warehouse to ensure correct entries. Check that losses are properly indicated and accounted for.
  4. Enforce inventory internal control procedures on receipt and dispatch of office and GIK supplies in line with the established inventory procedures and donor requirements.
  5. Maintain proper records for all goods received, goods in stock and goods dispatched. No Items should be dispatched without prior approvals.

GIK Distribution

  1. Work with the Project Managers and GIK Focal point to ensure that proper procedures for GIK distributions are followed according to the approved policies/ GIK minimum standards.
  2. Enforce inventory internal control procedures on receipt and dispatch of office and GIK supplies in line with the established inventory procedures and donor requirements
  3. Manage the capture of pipeline information, and the supply chain ensuring that Program staffs are well-informed and well-prepared for incoming goods and materials.
  4. Updating of the NTS databases and training of new users
  5. Maintenance of minimum standards for the GIK inventory

Timely distribution of GIK

Warehouse Management       

  1. Ensure that storage and stacking of commodities in the warehouse is properly undertaken in an organized manner.
  2. Conduct physical inventory and compare with the stack card and the ledger book. Again sign and date each document as proof of verification.
  3. Enforce inventory internal control procedures on receipt and dispatch of office and GIK supplies in line with the established inventory procedures and donor requirements.
  4. Ensure that storage and stacking of commodities in the warehouse is properly undertaken in an organized manner, by commodity type and by shipment number
    • Continuous improvement culture is embedded

Reporting           

  1. Work with Supply Chain Coordinator to ensure that all stores report are submitted monthly as required.
  2. Ensure quarterly and annual stock counts are done on time and reported.
  • Quality data is available for decision making

Any other duties        

  1. Participate in committee & Task forces requiring security input or guidance.
  2. Any other duty that may be assigned by the supervisor or designee
  • Team work is enhanced

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

Required Professional Experience

  1. University degree in Business Administration, Procurement, Supply Chain Management or similar degree, or equivalent experience
  2. At least 4 years’ experience in Stores, Logistics or Supply Chain
  3. Computer literate with excellent working knowledge in MS Office.
  4. Experience in working with Enterprise Resource Platform (ERP’s)

Preferred Knowledge and Qualifications

  • High professional ethics and integrity
  • Good interpersonal and organizing skills
  • Strong communication skills.
  • Experience working in the INGO at a similar role is an added advantage
